CLEAN INSIGHTS / Cleaning
Cleaning server rooms during live operations
Not every cleaning task needs a shutdown. What matters is which work is permitted and suitable for the equipment concerned.

Assess each task separately
Assess the planned tasks individually. Cleaning an accessible floor is different from working on an open device. Manufacturer instructions, contamination and operator approvals determine what can be done with IT running.
Define work areas and responsibility
Before starting, identify approved areas, excluded zones and the operational contact. Agree any attendance by IT or facility management. A joint walkthrough helps identify sensitive connections and specific site rules.
Account for cooling and access
Work must not inadvertently change agreed airflow paths or equipment access. Position tools, equipment and transport materials accordingly. If doors or floor panels must be opened, agree the extent, duration and necessary checks beforehand.
Plan internal cleaning separately
Cleaning exposed equipment is not automatically included in work carried out in an operating room. Establish access, a safe equipment state and suitable methods for each device. Required shutdowns, dismantling and ESD workstation tasks receive a separate work window.
Agree interruption criteria
Establish what happens in the event of alarms, unusual operating readings or unexpected obstacles. The cleaning team pauses the affected task and involves the responsible contact. Work resumes only after renewed coordination.
Review completion together
At the end of a stage, record the areas completed and agreed checks. IT assesses equipment operation within its own responsibilities. Record inaccessible areas and, where needed, plan them into a later maintenance window.
FOR YOUR PLANNING
Your checklist at a glance
- Agree approval for each area and task
- Consult manufacturer instructions
- Keep an operational contact available
- Agree alarm and interruption procedures
- Record remaining work for maintenance windows
