Data center maintenance: a planning checklist
Who checks what, and when? This checklist helps IT and facility management plan cleaning alongside maintenance.

Build a complete area register
Start with a list of all rooms: server and network rooms, backup locations, UPS, batteries, switchgear and cooling. Add contacts and maintenance contracts. Remember smaller IT rooms on individual floors and at branch sites.
Assign cleaning and technical maintenance
A visual observation made during cleaning differs from a technical functional test. Record who cleans, who maintains and who assesses faults for each installation. Inspection schedules and approvals are determined by the responsible personnel.
Make visual checks specific
Useful items include visible deposits, equipment access, contamination on grilles and the condition of approved work surfaces. Unusual noise, signs of moisture and alarms should be referred to the responsible team for separate assessment.
Prepare access and work windows
Arrange access lists, briefings, escorts and work approvals in advance. Establish which areas must remain available throughout the work. Required shutdowns and restarts are planned by the equipment owners.
Treat construction as a separate trigger
Before refurbishment, add protection measures and additional checks to the plan. Dust barriers, air cleaning or temporary positive-pressure enclosures may be appropriate. Temperature monitoring is part of the agreed supervision of enclosed IT areas.
Track outstanding actions
A useful entry identifies the area, date, observation, priority, owner and completion status. Agree when outstanding items will be reviewed. Reassess scope and scheduling after refurbishment or changes in use.
